The cohort programme

Learn how AI fits your service, and shape a tool you keep.

Over three months, 8 to 12 care organisations learn about AI in care together, through webinars and Q&A sessions with a consultant and an AI expert. Alongside the sessions, the group agrees on one shared problem and shapes an AI tool that we build for it, which each organisation keeps using afterwards.

  • 3 months
  • 12 weekly sessions
  • 8–12 organisations
  • 1 shared tool you keep

What it is

Learning about AI in care, with a tool built alongside.

Each cohort brings together 8 to 12 care providers, charities and not-for-profit organisations. Through webinars and Q&A sessions with a consultant and an AI expert, you learn what AI can and cannot do in care, how to use it safely, and what regulators and commissioners expect.

The aim is that your lead becomes the person in your team who can answer questions about AI, talk to suppliers with confidence and spot claims that do not stand up. Together, the cohort also helps steer how AI is used across care, rather than leaving it to suppliers.

Alongside the sessions, the group agrees on one problem you all have, such as writing up visit notes or preparing monthly returns for commissioners, and we build an AI tool for it. You tell us what works and what does not, and we change it in response. When the cohort ends, you keep using the tool in your organisation.

Week by week

Twelve weeks. Something to keep from every one.

Each week ends with something your organisation keeps. We have priced each one at what the same work would cost bought on its own. The price of the cohort is to be announced.

Weeks 1 to 5

Get your organisation ready

£4,000 of work

  1. Week 1: A straight answer on what AI can and cannot do for your work

How AI works, where it falls down, and live demos on documents like yours.

    Worth £500

  2. Week 2: Your own tasks ranked by time cost and payback

Where AI fits in your organisation, using our time and return assessment across your admin.

    Worth £750

  3. Week 3: A readiness score and a written list of gaps

How ready you are on data, policy, skills, systems and appetite.

    Worth £1,500

  4. Week 4: A one-page set of golden rules every member of staff can follow

Safe use: what never goes near a tool, anonymising properly, and where the model runs.

    Worth £500

  5. Week 5: A finished one-page AI use policy and a started DPIA

Writing an AI use policy, and whether you need a data protection impact assessment.

    Worth £750

Weeks 6 to 9

Build the tool together

£9,500 of work

  1. Week 6: An agreed problem and a baseline you can defend to a funder or board

Choosing the cohort’s shared problem, and measuring it before we touch it.

    Worth £500

  2. Week 7: Your requirements written into the specification

What the tool must do, and how it fits the way you actually work.

    Worth £3,000

  3. Week 8: Hands-on time with the tool, and your fixes going straight to the developer

The first working version, tested on made-up data.

    Worth £3,000

  4. Week 9: A tool working on your real documents, with a briefing pack and checking routine for your team

Using it on real work, and agreeing who uses it and who checks what it produces.

    Worth £3,000

Weeks 10 to 12

Prove it and plan what comes next

£4,200 of work

  1. Week 10: A supplier assessment you can reuse on any vendor

How to engage and assess an AI supplier, run live on a real vendor and on our own tool.

    Worth £1,500

  2. Week 11: Before and after numbers on your own task

Measuring what changed against the baseline from week 6.

    Worth £1,200

  3. Week 12: A written assessment of your organisation to take to your board

What we learned, what to do next, and what is worth commissioning.

    Worth £1,500

Bought separately, per organisation

£17,700

Your cost in the cohort

To be announced

After week 12, the tool stays with you

The cohort ends, and each organisation carries on using the tool. Your lead carries on as the person your team turns to about AI.

We ask for one lead from each organisation who can give regular time each week.

What's included

What you and your team get from it.

  • Webinars on AI in care

Plain-English sessions on what AI can and cannot do in care, how to use it safely, and what it means for your service.

  • Q&A with a consultant and an AI expert

Regular sessions to put your own questions to people who work on AI in care, and compare notes with the other organisations.

  • Your team’s go-to person

Your lead finishes able to answer colleagues’ questions about AI and explain where it helps and where it does not.

  • Confidence with suppliers

Know what to ask when someone is selling you AI, and how to judge the answers.

  • A tool you shape and keep

An AI tool we build for the problem your cohort agrees on. Your feedback decides what it does, and you keep using it afterwards.

  • A say in where AI in care goes

Help steer how AI is used across the sector, alongside other providers and charities facing the same questions.

Who it's for

A good fit for some organisations, and a poor fit for others.

This is for you if

  • You run or manage a UK care provider, charity or not-for-profit.
  • You want someone in your team who understands AI well enough to answer questions and talk to suppliers.
  • A task takes up time your staff should spend elsewhere.
  • You want a tool that fits how you work, not a generic product.
  • You can give one person time to take part for three months.
  • You are happy to share ideas and feedback with the rest of the cohort.

This is not for you if

  • You need a finished tool rolled out across your service next month.
  • You want AI to make decisions about care, risk or eligibility.
  • Nobody in your organisation can attend most of the sessions.
  • You want the work done for your organisation alone. Our three steps may suit you better.

The price is to be announced. We will set it out in full, including whether keeping the tool after the cohort has any cost, before anyone commits to a place. Applying does not commit you to anything.

Questions

Common questions

Do we need technical staff?

No. We designed the programme for operations leads and service managers. If you can use email and a spreadsheet, you can take part.

Is it only about building the tool?

No. The tool is one part. Most of the sessions are about AI in care more widely: using it safely, what CQC and data protection mean for it, and how to talk to suppliers. The aim is that your lead can answer your team’s questions long after the cohort ends.

How is this different from your three steps?

Our three steps (prove the return, fix what is blocking you, put the right solution in place) are done for one organisation alone, on its own tasks and in more depth. The cohort covers similar ground as a group, and shapes one shared tool. Choose the cohort if you would rather learn alongside others.

What does it cost?

The price is to be announced. We will tell you the price before you are asked to commit to anything, and applying does not commit you.

Can we keep using the tool afterwards?

Yes. The tool is built for your cohort, and each organisation keeps using it when the programme ends.

What happens to our data?

Privacy is where we start, and it is work we have a lot of experience in. We agree data arrangements with each organisation in writing before the tool handles any real information, and we use anonymised or made-up material wherever we can. We only build what meets UK data protection law and the safeguards your organisation already works to, and the cohort has a say in how the tool handles data: what it keeps, for how long, and who can see it.

What if the tool does not do what we need?

Tell us. Shaping the tool is the point of the cohort, so feedback on what is not working is exactly what we need.

How do you choose organisations?

We look for a group that shares a common problem, with a mix of sizes and service types, and leads who can give the time. If we cannot offer you a place, we tell you why.
